CSV must contain one email address per row in the first column. No header row needed.

Bulk Notify Clients using Mail Merge

After using the "Bulk Add" feature, you'll receive a CSV file containing your clients' email addresses and their temporary passwords. Use this guide with Microsoft Word's Mail Merge feature to efficiently send personalized welcome emails.

1Prepare Your Data File

The CSV file you downloaded after bulk adding clients is your data source. It should look like this:

...

Make sure the headers are exactly Email and Password.

2Start Mail Merge in Word

  1. Open a new blank document in Microsoft Word.
  2. Go to the Mailings tab on the ribbon.
  3. Click Start Mail Merge and choose E-mail Messages.

3Select Recipients

  1. On the Mailings tab, click Select Recipients.
  2. Choose Use an Existing List...
  3. Navigate to and select the CSV file you downloaded (e.g., bulk_add_results.csv). Click Open.
  4. Word might ask you to confirm the data source. Ensure it recognizes the headers correctly and click OK.

4Write Your Email & Insert Merge Fields

  1. Type the body of your email directly into the Word document.
  2. To insert personalized data:
    • Place your cursor where you want the client's email or password to appear.
    • On the Mailings tab, click Insert Merge Field.
    • Choose either Email or Password from the list. Word will insert a placeholder like «Email» or «Password».
  3. **Example Email Template:**

    Subject: Welcome to ReconcileIQ - Your Account Details

    Hi,

    We've set up your account for ReconcileIQ, our automated bank reconciliation tool.

    You can log in using:

    Email: «Email»
    Temporary Password: «Password»

    Please log in here: https://bankreconciler.app/login

    IMPORTANT: For security, please change this temporary password immediately after your first login via your account settings.

    ReconcileIQ helps streamline the bank reconciliation process, saving you time and ensuring accuracy. You can upload your bank statements and bookkeeping records, and the tool will automatically match transactions.

5Preview and Finish

  1. On the Mailings tab, click Preview Results to see how the email will look with actual client data. Use the arrow buttons to cycle through recipients.
  2. When you're ready, click Finish & Merge.
  3. Choose Send E-mail Messages...
  4. In the dialog box:
    • To: Select the Email field.
    • Subject line: Enter your desired subject (e.g., "Welcome to ReconcileIQ").
    • Mail format: Choose HTML.
    • Send records: Choose All.
  5. Click OK. Word will use your default email client (like Outlook) to send the emails individually. You might get security prompts from your email client – allow them.

Important: Ensure your email client (e.g., Outlook) is configured correctly before sending. Sending large batches might take time or trigger sending limits depending on your email provider.
